Beyond Limits Consultancy Ltd Privacy Policy Introduction Beyond Limits Consultancy Ltd takes the privacy of your personal data seriously and with this in mind follows the GDPR guidance and is registered on the IOC UK Database No. ZB016640 The following is a summary of how we collect and use the information provided by customers through transactions with the business direct and via the websites. Who we are? The data controller is Beyond Limits Consultancy Ltd. The controller’s representative is the Managing Director and can be contacted via the details provided on the website contact form or by emailing admin@beyondlimits.co.uk What information do we collect? We collect the following personal information for all clients and website subscribers Names and addresses E-mail addresses Purchase / contact history Additionally for Training / Coaching Clients Any additional learning needs Date of Birth Occupation Coaching Clients Only Pertinent medical history This is collected via the website or on application for a specific service How do we use personal information? We use this data for the following purposes: personalisation of content, business information or user experience account set up and administration delivering marketing and events communication providing services legal obligations audit by governing / certification bodies. What legal basis do we have for processing your personal data? The basis under which we process the information is one or more of the following E-mail and other marketing Legitimate interest – existing customers Consent – double opt-in subscription to mailing list Consent can be withdrawn by unsubscribing from the list via single click opt-out or contacting admin@beyondlimits.co.uk Training / Coaching Clients As above plus Contract for supply of services legal obligation – e.g. insurance cover audit by governing / certification bodies. When do we share personal data? Personal data will only be shared with parties relevant to the service supplied. E-mail and other marketing No data will be shared with any third party except the e-mail service provider (ESP) who we ensure are a reputable company based on their reputation and safeguards they have in place. The ESP cannot use this data, it is only held by them for the purpose of e-mail. Contact details will either be uploaded directly or new subscribers can opt-in using a double opt-in function. Training / Coaching Clients As above plus the data may be shared with a governing or certification body for registration purposes or insurance company in the event of a claim. Any financial transaction will result in the data being seen by the company who prepare the annual accounts who are also covered by the GDPR rules. If PayPal was used to make payments then any details the customer entered to make the payment will be recorded and stored on their servers. Where do we store and process personal data? E-mail and other marketing Data is stored on the ESP servers and on the company office pc and back-up drive kept in a secure environment. Training / Coaching Clients As above for names and e-mail addresses but any additional information is only kept on the office pc and back-up drive kept in a secure environment. How do we secure personal data? The data is password protected on a PC using up to date anti-virus software and held on two separate hard-drives. Written information is kept in a locked filing cabinet in a locked room. Data held by the ESP / PayPal / Accounting Firm is secured by their systems and we only use industry reputable businesses for this. How long do we keep your personal data for? E-mail and other marketing This data will be kept until such a time that consent is removed. Training / Coaching Clients As above for names and e-mail addresses but any additional information will be destroyed or deleted after 7 years due to legal obligations.
